Give the trailer a complete description
Include the type, manufacturer, year, length, fleet number, and visible markings. Describe the hitch or coupling arrangement and any known tire, brake, or landing-gear issues. If a refrigeration unit or other equipment is part of the collateral, identify it in the file.
State whether the trailer is loaded
Tell the office if freight or equipment remains aboard, who controls it if known, and whether the trailer is attached to a tractor. Explain which collateral is included in the lender’s documents. The presence of another unit or a load should be reviewed before movement is arranged.
Location and transport information
Send the last confirmed yard, customer location, or other parking site with its date. Include property access details and an intended storage or delivery destination. If the trailer has moved, provide the most recent authorized location update rather than relying on its usual return yard.
