Identify the tractor and trailer separately
Send the tractor VIN, year, make, model, fleet number, and carrier markings. If a trailer is connected, supply its identifying numbers too. State which units the lender has authorized for recovery. Freight and other property aboard should be described separately from the financed collateral.
Working with a moving unit
A registered address does not necessarily locate an operating tractor. Include the latest confirmed sighting or authorized tracking update, its timestamp, and known route or yard information. Mark expected destinations as leads rather than confirmed locations.
If another recovery company has already worked the file, send its findings and recent updates. That history can help avoid confusion about which addresses have been checked and whether the unit has moved.
Condition, keys, and onward movement
Tell the office whether the tractor operates, whether keys are available, and where the lender wants it held or delivered. Discuss any load, mechanical issue, or third-party possession before removal is arranged. The office will review the assignment and proposed fees with you.
